Microsoft 365 mailboxes

Overview

  • RFQs go out from MSC email addresses. Suppliers see MSC, not Faction.
  • Replies are read only from the mailboxes MSC names, and parsed into the 19 fields.
  • An MSC associate approves every RFQ until MSC chooses to automate trusted suppliers.

Phase: Pilot. MSC owner: M365 and Entra ID admin.

Setup

  1. M365 admin creates and names the shared sourcing mailbox. Week 2.
  2. Entra ID admin registers the Faction app and grants Microsoft Graph mail permissions. Week 2.
  3. Exchange admin limits the app to the named mailboxes in Exchange Online. Week 2.
  4. Faction connects the mailbox and configures the RFQ template. Sourcing leads approve the template. Weeks 3–4.

How RFQs appear in MSC mailboxes

  • One email per supplier. Lines from different lists that go to the same supplier are combined.
  • Each RFQ asks only for the fields still missing after portal and feed checks.
  • RFQs are sent from the named mailbox and appear in its Sent Items, like any email an associate sends.
  • RFQs go out in waves. Timing and grouping are set per supplier tier.

How replies are processed

  • Replies are read from the named mailbox only, whether the supplier answers in the email body, a PDF quote or a spreadsheet.
  • Values are parsed into the 19 fields and validated.
  • A missing or ambiguous field triggers a specific follow-up from the same mailbox, for example "Please confirm country of origin and unit weight for part X."
  • Every send, reply and follow-up is logged in the RFQ log with its message ID.

Security

  • Mail read, write and send permissions only. Exchange Online limits them to the named mailboxes.
  • Mail stays in MSC's mail store. Faction never sends from a Faction domain.
  • MSC can revoke access at any time by removing the app's consent.

Frequently asked questions

What if a supplier doesn't reply?

The RFQ is chased on the SLA clock. If the supplier still doesn't reply, the line is escalated to the associate.

MSC provides: the mailbox, the app registration, the mailbox restriction and the template approval.

Faction handles: drafting, sending, reply parsing, follow-ups and the RFQ log.
